Dial in your brand voice

Write a voice profile once so every generated email sounds like you.

Brand voice is a short profile Pombo uses when it prepares campaigns, subject lines, and sequence steps. Set it well and the drafts sound more like your team.

Before you start

Have two or three emails you have sent before that sound right, to work from.

1. Open the profile

Go to Settings, Brand. See brand voice for what each field does. If you'd rather start from a draft than a blank page, click Generate with AI and give it your website; you'll still want to work through the rest of this guide on the result.

2. Describe the tone

Write it the way you would brief a new writer. Be concrete: "plain and direct, a little dry, no exclamation marks, short sentences" beats "professional yet friendly". Name things to avoid as well as things to aim for.

3. Add a few rules

List the specifics: how you refer to the product, words you never use, your standard signoff, whether you write in first person plural.

4. Generate a test campaign

Draft a throwaway campaign on any topic. Read it as if a customer sent it to you. Where does it still sound off?

5. Compare

Turn the profile off, generate the same brief again, and compare. The gap between the two is what your profile is doing. Feed what is still wrong back into the profile wording.

6. Repeat until boring

You are done when a fresh draft needs only light edits and nothing makes you wince. From then on, new campaigns start on brand with no prompting.

What you have now

A voice profile that every generation follows, in the app and through a connected agent.
